Sanapass Collection partner terms
One page. Reply "agreed" to the email you received this with, or tick the box in your onboarding form, and these terms apply. No signature required. "Partner" means a hotel, spa, day spa or golf club in the Sanapass Collection.
1. What Sanapass is
Sanapass sells gifts to employers in Norway and Ireland, and from December 2026 to private customers. Each gift carries a value chosen by the buyer: any amount, typically between NOK 1,000 and 2,500 or EUR 100 and 250. A gift may also come as a recurring credit, for example monthly, or as a one-off top-up for a birthday or a work anniversary. The same terms apply to every gift, whatever its amount or occasion. Gifts are spent at the partners in the Sanapass Collection, on anything they sell: a spa day, a treatment, a sauna session, a green fee, a meal, a stay. A gift can be spent in parts and at more than one partner. Christmas gifts are valid until 31 December of the following year; other gifts for 12 months from issue; gifts issued in Ireland for five years. A partner may choose not to be shown to private customers; one email is enough. From February 2027 Sanapass also arranges team days and offsites at partners under a separate agreement.
2. What the partner provides
A profile in the Collection: name, location, three to five press images supplied by the partner, and a short text drafted by Sanapass and approved by the partner. Prices for the profile in the partner's own words. A named operational contact (reservations, the spa desk or the club office) for anything concerning Sanapass guests or payments. Two answers at onboarding, shown on the profile as "How to book here": whether a guest can pay part on the day, and whether the partner sells its own gift cards online. Golf partners receive an interactive model of their course, drawn by Sanapass from the course map, free to embed on their own website for as long as the partnership continues.
3. How a guest pays
The gift part is paid by card: the employee's Sanapass card, or a single-use Sanapass card that comes with a booking email. The guest books directly with the partner like any guest and pays the gift part at the desk or online; where the partner's online checkout needs the full amount, the guest first buys one of the partner's own gift cards with the Sanapass card and books with that. Anything above the balance the guest pays with their own card under the partner's normal terms. The partner receives a card payment and needs nothing else: no code to check, no integration, nothing to approve. A partner that cannot take card payments is instead emailed the guest's name, the amount and a reference, confirms the visit by replying to that email, and is paid by bank transfer in its own currency on the 1st and the 16th of each month. If a guest cancels under the partner's policy, the refund goes back to the Sanapass card and the gift value returns to the holder; any cancellation fee is covered by the card the guest gave at booking. A partner may instead ask to issue its own gift codes; this is optional.
4. Commission
Sanapass retains a commission on the gift value used. Founding partners, who join by 20 October 2026, pay 10% through 31 December 2027; the founding rate renews for each following calendar year as long as the partnership continues without interruption. Partners joining later pay 15%. The commission applies to the gift value only; everything the guest adds on top is commission-free. Sanapass will never retain more than 15% of the gift value, under this agreement or any later version of it. Where the guest paid by Sanapass card, Sanapass invoices the commission once a month on the Sanapass card spend at the partner, with a statement per guest, excluding VAT, payable within 14 days; where Sanapass pays by bank transfer, the commission is deducted from the payout. Employers pay Sanapass before anyone books, and Sanapass keeps those funds on a separate client account. No-shows follow the partner's own policy.
5. Prices and parity
The partner keeps full control of its prices and availability. Sanapass never sets rates, never discounts the partner's prices and never resells rooms, treatments or tee times. Guests paying with a Sanapass gift receive the same conditions as guests booking direct. A gift cannot be exchanged for cash.
6. Marketing
Sanapass may name the partner and use the supplied press images on sanapass.co, in the gift materials and in communication with employers and press. Founding partners receive top placement in their country and are named in the launch communication. Founding golf clubs agree to mention the partnership once to their members in November 2026, with text and image supplied by Sanapass; hotels and spas are welcome to share it on their own channels but are not required to. Either side may stop any use by email.
7. Term, ending and transfer
Open-ended and non-exclusive. Either side may end the partnership with 30 days' notice by email. A booking made with a Sanapass gift before the end date is honoured and paid for its booked date, even if that date falls after the partnership ends. The course model licence in section 2 ends with the partnership. Sanapass may transfer this agreement, including any open payments, to a company in the same group; the partner is informed by email and no new signature is needed. This agreement is governed by Danish law.
8. Data
Sanapass shares only what the partner needs: the guest's name, the amount and, where used, the Sanapass reference. The guest books with the partner and remains the partner's guest. Both sides handle guest data under GDPR.
